From an amount due to a payment you can trace.

Give collectors a clear work list, a controlled receipt process and a connected record of where the money goes.

Set contribution rules, record payments and allocate them to dues. Numbered receipts, verification links and custody records connect the collector’s action to the committee’s books.

The details that keep work moving

  • Many kinds of contribution

Fixed, family, category, slab or member’s-choice amounts, billed monthly, quarterly, yearly or on a custom cycle. Dues are generated on a schedule, and the first period can be full or pro-rated.

  • Receipts that never lose track

Each payment gets a receipt number with no gaps and an A5 PDF with your letterhead. A payment clears the oldest dues first or the ones you pick. Part payments and advance credit are kept. Saving twice never makes two receipts, and a receipt is cancelled only with a reason and a second person’s approval.

  • Cash, bank transfer and cheque

Record cash, bank transfers with a reference and slip photo that another person checks, and cheques with clearing and bounces. Gifts in kind get an acknowledgement PDF. TRELVERIQ Governance records these payments. Members cannot pay through TRELVERIQ Governance by card or online.

  • A work list for collectors

The My members list has monthly, campaign and receipt tabs and filters such as to collect, collected, has advance and several cycles behind. One tap sends a reminder on WhatsApp or starts a call.

  • Collection that works offline

Collectors keep recording cash payments when the signal drops. Receipts are saved on the phone and sent when it is online again. Dues billed in another currency can be taken offline too, at the exchange rate the phone saved when it last updated.

  • Cash in hand and handovers

See how much cash each collector holds. Pass it up a chain of handovers that the receiver confirms, and deal with any difference. Set limits by amount and by days, and see an ageing report. Paper receipt books and bank deposits are covered too.

  • Late fees and waivers

Charge late fees after a grace period, with automatic waivers where you set them. Other waivers go through approval. A fee change can start from a period you choose.

  • Receipts people can check

A receipt can be shared as a signed link that expires, and the public page shows only the fields you choose. Receipts made offline carry a QR code that TRELVERIQ Governance verifies on a public page.

Make it work your way

Choose the rules your organisation needs. Committee permissions and inherited controls still apply.

  • Which dues a payment clears first. The default is the oldest.
  • Which payment methods collectors may record.
  • Whether extra money is kept as advance credit, and the most that is allowed.
  • Whether bank transfers wait for a check by another person, and whether they need a reference and photo.
  • Your late fee rule: none, a fixed amount or a percent, with a grace period and an upper limit.
  • The time of day when new dues are generated.
  • How many days a receipt link keeps working.
  • The reasons a receipt may be cancelled, and whether cancelling after a handover is allowed.
  • The most cash a collector may hold and for how many days, and whether to warn or block when it is exceeded.
  • Whether offline collection is on, and how many receipt numbers each phone reserves.
  • How many cycles behind counts as far behind, and whether to show a not-collected badge.
