Keep the decision connected to what happens next.
Prepare agendas, record attendance, approve minutes and follow the actions that carry a meeting’s decisions forward.
Meeting records bring invitations, attendance, minutes, votes and assigned actions together. Optional raffle tools retain draw records and the controls configured by the committee.
The details that keep work moving
Meeting types and quorum
Seven built-in meeting types and your own. Set the quorum as a percent, a fraction or a count, with an adjourned quorum, a notice period in hours and joint meetings.
Notices and replies
Send a notice with RSVP buttons, send reminders, and reschedule or cancel with a reason. Notices go out on WhatsApp, through the gateway you connect, and in the app.
Attendance in a tap
Mark attendance with one tap, or let people scan a QR code that changes every 60 seconds, with an optional venue boundary. Record late, excused and left early. Members can send a leave request, and a live counter shows whether you have a quorum. Marks can be saved offline.
Minutes you can sign off
Write the discussion and the decision for each agenda item. Circulate a draft for comments, then approve it with signature codes or with a resolution at the next meeting. The final minutes are a locked PDF with a hash, and amendments are recorded.
Numbered resolutions
Number each resolution and record the vote, with named votes if you want them. A searchable register keeps the status history, and you can export it to PDF or Excel.
Action items that get done
Give each action an owner and a due date, send reminders, and carry unfinished items forward to the next agenda.
Attendance reports
See attendance as a percent for each term, set an attendance rule for office bearers, and spot members who keep missing meetings. A quorum history shows how often you made it.
A raffle draw at a meeting
Run any number of draws and prizes. Choose the pool: people present, invited, all members, a hand-picked list or an uploaded file. Leave out recent winners, office bearers, collectors or members in arrears. The list is frozen with a fingerprint and every round uses a fresh random seed that anyone can re-verify in a browser.
Raffle records you can trust
Results can only be added to. A re-draw needs a written reason. A prize-collection log shows who has collected, and a big-screen mode has a countdown. Winners can be told by message, and guest phone numbers are deleted after the days you set. It is a draw among attendees, not a ticket sale.
Make it work your way
Choose the rules your organisation needs. Committee permissions and inherited controls still apply.
- Which channels carry meeting notices.
- How many hours before a meeting reminders go out.
- How often the check-in QR code changes.
- Whether check-in is limited to the venue, and how many minutes late counts as late.
- Whether people joining online count towards the quorum, and how long to wait for it.
- What makes a resolution pass, and whether votes are recorded by name.
- How minutes are approved, who signs them, and how many days for comments.
- The attendance an office bearer must keep, and how many missed meetings in a row raise a flag.
- Whether raffle draws are on, and who is in the pool by default.
- Whether a re-draw is allowed, and whether one person may win more than once.
- Whether winners are announced, and whether prize collection is tracked.
- How many days a raffle guest’s phone number is kept.
